This Privacy Policy explains how Her Book Society collects, uses, stores, and shares information provided through this website, membership applications, member accounts, and our book-club community.
Information We Collect
Depending on how you interact with Her Book Society, we may collect your name, email address, telephone number, city and state, referral source, reading interests and preferences, membership application responses, participation preferences, information you voluntarily include in open-ended application responses, member reviews, account information, login/session information, and other information you choose to provide.
How We Use Information
We use information to review membership applications; approve, administer, and manage membership; create and maintain member accounts; provide access to private member areas; communicate about applications, account setup, password resets, gatherings, announcements, and other book-club matters; moderate and publish approved reviews; maintain website and account security; enforce community rules; and respond to questions or requests.
Membership Applications
Membership applications are reviewed by the Her Book Society administrator. Application information may be retained as reasonably necessary for membership administration, recordkeeping, security, or legal purposes. Applicants may contact us using the email below with privacy questions or requests concerning information they submitted.
Member Accounts & Security
Approved members may create password-protected accounts. Passwords are not stored in readable form; the website stores a protected password hash used for authentication. The site also uses secure session cookies so an authenticated member can remain signed in and access protected member pages. These cookies are used for account access and security rather than advertising.
Official Group Chat & Phone Number Visibility
Approved members may be invited to the official group chat. Joining the group chat requires sharing a telephone number with the group platform, and other members may be able to see that number. This is disclosed during the membership application process. Members are also expected to follow the Community Guidelines and respect other members’ personal information and private communications.
Reviews & Member Content
Member reviews are submitted privately for moderation. If a review is approved for the public Reviews page, the review text, rating, and the member name associated with the submission may be displayed publicly. Members should not include private information in a review that they do not want displayed publicly.
Email Communications
Her Book Society uses transactional email to send messages such as application confirmations, administrator alerts, account-setup links, and password-reset links. These messages are used to operate membership and account functions. Her Book Society currently uses Zoho ZeptoMail to deliver transactional email.
Service Providers
Her Book Society uses third-party service providers as needed to operate the website and community. The website is hosted through Cloudflare Pages, and membership/site data is stored using Cloudflare D1. Cloudflare also provides website infrastructure and security services. Zoho ZeptoMail is used for transactional email delivery. These providers may process information as necessary to provide their services and are governed by their own privacy terms.
Third-Party Links and Services
The website may link to bookstores, libraries, audiobook services, virtual-meeting services, group-chat platforms, forms, and other third-party websites or services. When you choose to use a third-party service, that provider's privacy practices and terms apply to information it collects.
Data Retention
We retain personal information for as long as reasonably necessary to operate and administer Her Book Society, maintain appropriate records, provide member access, resolve disputes, protect the community and website, and meet applicable legal obligations. Retention periods may differ depending on the type of information and whether a person is an applicant, current member, former member, or website visitor.
Your Privacy Choices & Requests
You may contact Her Book Society to ask questions about information you have provided or to request correction or deletion where appropriate. Some information may need to be retained when reasonably necessary for security, recordkeeping, dispute resolution, or legal obligations. Leaving the book club does not necessarily cause all records to be deleted automatically.
Data Security
We use reasonable administrative and technical safeguards designed to protect information, including protected member pages, secure session cookies, and server-side account controls. No online service can guarantee absolute security.
Changes to This Policy
We may update this Privacy Policy when our practices, website features, or service providers change. The “Last updated” date above identifies the current version. If a material update affects existing members, Her Book Society may provide a notice or request a new acknowledgment in the member area. The site may record the date and version of a member's acknowledgment of current membership policies so the acknowledgment does not need to be repeated on every login.
